Authorship & Ethics
To ensure transparency and fairness:
• One individual may submit only ONE abstract as first author.
• The same individual may be listed as corresponding author on up to three abstracts.
• The presenting author must:
o Ensure that all co-authors have read and approved the abstract and order of authorship.
o Confirm that the work is original and not under review elsewhere in identical form.
Authors are responsible for maintaining academic integrity, including proper citation and avoidance of plagiarism, data fabrication, or falsification.
For studies involving human or animal participants, authors are responsible for obtaining the necessary ethical approvals and following relevant ethical guidelines.
Review, Acceptance & Programme Inclusion
• All abstracts will undergo peer review by the Scientific Committee / Review Panel.
• Possible decisions include:
o Accepted
o Accepted with minor revisions
o Not accepted
The Scientific Committee may also recommend a change in presentation format (e.g., from paper to oral poster) based on content and scheduling.
Only abstracts whose presenting authors complete registration and fee payment by the specified deadline will:
• Appear in the final scientific programme, and
• Be eligible for inclusion in conference publications.
The decision of the Scientific Committee is final and binding. Abstracts that do not follow the guidelines or are clearly outside the scope of the conference may be rejected without detailed review.

Registration Requirement

• Registration is compulsory for all presenting authors.

Registration fees are generally non-refundable, except in specific situations explicitly announced by the organizers (e.g., event cancellation or major format changes).

Full Paper Submission & Publications

ICVMCS 2025 offers structured pathways for disseminating high-quality work, subject to independent peer review and publisher policies. Acceptance to present at the conference and eligibility for publication are related but separate processes.

1. Abstract Book (with ISBN)
• All accepted abstracts of registered presenting authors will be compiled in an Abstract Book with ISBN.
• The Abstract Book will be provided in digital format, with print options where feasible.
2. Peer-Reviewed Journals
Based on abstract quality, full paper quality, and thematic fit, selected papers may be recommended for submission to peer-reviewed journals, including partner and collaborating outlets.
Key clarifications:
• Acceptance to present at ICVMCS 2025 does not automatically guarantee journal publication.
• Each journal will conduct its own independent peer-review and take its own editorial decision (accept / revise / reject).
• Article Processing Charges (APCs) or other journal fees, if applicable, are decided by the journal/publisher, not by the conference.
• Such charges are separate from the conference registration fee and are the responsibility of the author(s).
3. Edited Volumes & Potential Scopus-Indexed Publications
The organizers are working with publishing partners to develop edited books and/or thematic volumes, with the intention that appropriate volumes may be submitted for indexing in Scopus or similar databases, where feasible.
Important clarifications:
• Being accepted for presentation at ICVMCS 2025 only makes a paper eligible for consideration in such volumes; it does not guarantee inclusion.
• Final inclusion in any edited book or Scopus-indexed volume depends on:
o Successful completion of double-blind peer review of the full chapter/paper,
o Compliance with the publisher’s technical, ethical, and formatting requirements, and
o The publisher’s final editorial decision and the indexing agency’s decision.
• The indexing status (e.g., Scopus) of any journal, series, or volume is controlled by the publisher and indexing agencies, not by the conference organizers.
• The conference organizers cannot and do not guarantee that any specific publication will be indexed or remain indexed in Scopus or any other database.
• Any APCs / chapter processing fees / publication charges associated with these volumes are separate from conference registration fees and will be communicated separately, if applicable.
The organizers reserve the right to modify, postpone, or cancel planned edited volumes or publication projects if:
• The required number or quality of full papers is not met,
• Publisher requirements or contracts change, or
• Other practical or legal constraints arise.

Important Dates

• Early Bird Abstract Submission Deadline: 22 October 2025
• Final Abstract Submission Deadline: 15 November 2025
• Full Paper Submission Deadline (for publication consideration): 25 November 2025
• Conference Dates: 20–22 November 2025
Early submission is strongly encouraged to allow sufficient time for review and communication.

o Journals and publishers independently manage peer review, acceptance, timelines, and fees.

o The organizers are not liable for personal expenses, travel, or technical issues arising from such changes.
